A collab is the workspace for a single event. When you import events from your event platform, each event becomes a collab automatically. This is the preferred method. Every collab has five tabs: Overview, Playbook, ABM, HubSpot, and My Partners.

Creating a Collab Manually

You can also create a collab manually by clicking the + next to Collabs in the left sidebar. Fill in:
  • Name - The collaboration name.
  • Collaboration Type - In-Person Event, Webinar, or Content Collaboration.
  • Collaboration Start / End - Date and time range.
  • Timezone - All times display in this timezone.
Manual collabs don’t auto-import attendees. You’d need to upload attendees via CSV or connect an event platform later. The preferred flow is to connect Luma, Splash, or Zuddl first, which creates collabs from your imported events with attendee data already flowing in.

Overview Tab

The Overview has two collapsible sections at the top, plus the attendee table below.

Event Overview

Shows your event details and progress:
  • Event Name - Editable.
  • Cost (USD) - Enter your event cost. This feeds into attribution ROI calculations.
  • RSVP Target - Set a target (e.g., 50 RSVPs). Used for progress tracking.
  • RSVP Progress - Shows current RSVPs against your target with a progress bar (e.g., “15/50 RSVPs, 30%, Getting Started!”).
  • Timeline Progress - Days remaining until the event date.

AI Event Attendee Insights

Ask heyBTW AI questions about your attendees for this specific event. The AI has context on your attendee data, enrichment, RSVPs, event information, and registration question answers. Example prompts:
  • “What are the main roles of our attendees?”
  • “Which attendees are the best prospects?”
  • “Provide a breakdown of attendee answers to registration questions, segmented by the question.”
  • “Who are the decision makers in our audience?”
Type your own question in the input field or click a suggested prompt. Both the Event Overview and AI Insights sections can be collapsed to give you more space for the attendee table.

Latest Attendees Table

The main data view. Each row is an attendee with columns for:
  • Full Name
  • Email
  • Status - Dropdown with options: Approved, Declined, Waitlist, Checked In, Invited, Pending, Pending Vote, Session.
  • Company
  • Title
  • LinkedIn
  • Partner Source - Which partner sourced this attendee. Set automatically via UTM tracking (if Sponsor Mode defines a UTM per partner) or manually by selecting which partner invited them.
  • MQL - Checkbox. When checked, syncs the Lead Status (hs_lead_status) to HubSpot.
  • Meeting Booked - Checkbox. Track whether a meeting was booked with this attendee.
  • Opportunity - Checkbox. Track whether an opportunity was created.
Filtering: Filter the table by Status (All, Approved, Declined, etc.), Check-In status, and Partner Source. Enrich: Click the Enrich button to run lead enrichment on attendees. Uses credits. See Lead Enrichment. Manage Columns: Click the column icon to show or hide columns. Export: Download the attendee data.

ABM Tab

Account-Based Marketing for this specific event. A shared account mapping dashboard visible to all partners in the collab.

How It Works

Each partner uploads their target account list (CSV). heyBTW maps overlap across all partners so everyone can see where to focus. The left sidebar shows:
  • Relationship Status filter (All Companies).
  • Partner View filter (All Partners).
  • Partner Uploads - Each partner’s upload status (Completed or Upload Needed). Click CSV to upload your list.
The main table shows Account Mapping with columns for:
  • Company - Account name.
  • Vertical - Industry (Fintech, Gaming, Unknown, etc.).
  • One column per partner - Shows each partner’s relationship with that account.
  • Priority - How important this account is for the event.
Use this to coordinate who invites who. If both you and your partner have a relationship with an account, decide which side sends the invite. If only one partner knows the account, that partner takes the lead.

ABM vs. Partner Ecosystem Dashboard

The ABM tab is scoped to one event. It answers: “For this specific event, which accounts should we prioritize and which partner should invite them?” The Partner Ecosystem Dashboard is workspace-wide. It answers: “Across all events and partnerships, how do our accounts overlap?”

Inviting Partners

Click + Partner in the top right of any collab to open the Invite Partners modal. Enter partner domains (e.g., meta.com, appsflyer.com, braze.com). Users with email addresses from those domains will be automatically joined to this event. You can add multiple domains and remove them with the Delete button. This is domain-based access. No email invitation is sent. Partners see the collab when they log into their own heyBTW workspace.
